Simple Electronic Signature (SES)

In short, the simple electronic signature (FS) is a mode of remote signature that is very easy to use and is legally recognized at the evidentiary level in Italy and Europe. The degree of its legal value is determined by the court in case of a dispute.

We at OTP service, in order to offer the strongest possible evidentiary value, have enhanced the features by making it very similar in terms of requirements to the advanced electronic signature (FEA).

In fact, each step of the signing process is recorded in an event log where every IT trail is documented. In addition, the signer is required to complete the signature by authentication via otp delivered to the signer’s email address or cell phone number. For security issues, these two data are set by the proposer and cannot be changed by the signer.

Advanced Electronic Signature (AES)

The signing process is very similar for both solutions and the only difference from the FS is the recognition of signers, which is provided only for FEA. In fact, for this there is a specific regulation and it is mandatory that the recognition of the person who is to sign be carried out.

 

You do the signer recognition and it can be done remotely or in person. If you do it in person you only have to enter the signer’s information. On the other hand, if you cannot meet him physically you can choose remote recognition and let him show his identity through our simple procedure, you only have to check his ID data and the photographic proof that will be required. The shots will be taken in realtime but your control is deferred. In fact, the process is frozen, resumed and concluded according to the time required for each signer.

If the data are confirmed, the document is considered signed and a copy is sent to each signer, with the signature certificate generated by OTP service attached in the document itself.

Regulations

These are the simple steps, in common with the signature types, to get a document signed:

  • Choose the type of signature (simple or advanced).
  • Upload the file of the document to be signed.
  • Enter the details of the person or persons from whom the signature is required.
  • Insert the signature points in the document.

These, instead, are the steps for the signer(s) who will receive the request:

  • The signer receives the link via email to start the signing with already attached the document to be signed.
  • For the advanced signature, there is an additional part described later.
  • The signer accepts the signature points you have entered by placing a simple check mark on each.
  • After accepting all of them, confirm your intent through the OTP: a code valid for only a few minutes and sent to the address, email or text message, defined by you.
  • Done! You will receive the signed pdf and a code so you can check the details of the signing process on our system.

How does it work?

Sign electronically with OTP service, a simple and functional process.

Step 1

The proposer creates a new case and decides the type of signature: simple signature or advanced signature.

Step 2

After uploading the contract, simply by dragging the cursor, mandatory and optional signature points are defined.

Step 3

The signatory is immediately notified via email that there is a document to sign.

Step 4

If the contract requires an advanced signature, the signer enters a copy of their documents and a selfie that will be used for recognition. If the contract only requires a simple signature, after accepting the signature points, they will directly proceed to enter the OTP.

Step 5

The OTP can be received via SMS or email. Once entered, the contract is considered signed.

Step 6

The proposer is informed that the contract has been signed and is always able to verify all phases: from the moment of initial notification until completion.

Step 7

In case of an advanced signature, the proposer will proceed with the identification of the signer to successfully conclude the contract.

Step 8

The proposer, through their dashboard, always has a history of all contracts they have sent.
